This Privacy Policy governs the MARDI Dairy Smart Farming (DSF) system, including the mobile application ("the App") and web portal ("the Web Portal"), operated by the Malaysian Agricultural Research and Development Institute (MARDI). The system assists Malaysian dairy farmers in managing farm operations and livestock records.

This policy complies with the Personal Data Protection Act 2010 (PDPA) and applicable Malaysian laws. Personal information will only be collected with your consent.

1. Personal Information We Collect

Personal information is collected through the App and Web Portal via registration, farm worker addition, profile updates, and automatic collection during use.

1.1 Registration Information

  • MyKad/IC Number (username)
  • Full Name
  • Phone Number
  • Email Address
  • Date of Birth
  • Password (encrypted)

1.2 Farm Worker Information

When you add farm workers:

  • Worker Full Name
  • Worker Phone Number
  • Worker Email Address
  • Worker Username
  • Worker Date of Birth
  • Role Assignment (Farm Lead or Farm Worker)

1.3 Automatically Collected Information

  • Device type and operating system
  • App usage data for performance monitoring

2. Device Permissions

The mobile App requests device permissions only when needed for specific features:

  • Camera: QR code scanning and photo capture
  • Photo Library: Select and save photos
  • Storage: Store app data and images locally
  • Notifications: Send reminders and alerts
  • Internet: Sync data with MARDI servers

Permissions will only be granted once you approve them through your device settings. The Web Portal operates through standard web browsers and does not require device permissions.

3. Purpose of Data Collection

Your personal information is collected for:

  • User authentication and account management: Verify identity and secure access to the App and Web Portal
  • Farm management: Enable multi-user collaboration between farm owners and workers, and administrative management through the Web Portal
  • Service delivery: Provide system functionality and technical support
  • Legal compliance: Meet regulatory requirements under Malaysian law
  • Research and development: Anonymized data only, used for agricultural research and system improvement

4. Data Protection

4.1 Storage and Security

Your personal information is stored locally on your device (App only) and on MARDI servers located within Malaysia. The Web Portal provides web-based access to authorized MARDI personnel for system administration and user management.

Security measures include:

  • Password encryption (stored as cryptographic hashes)
  • Secure token-based authentication
  • Encrypted data transmission
  • Role-based access control
  • Regular data backups

4.2 Data Sharing

We do NOT share your personal information with:

  • Third-party commercial services
  • Marketing or advertising companies
  • Social media platforms
  • International entities outside Malaysia

MARDI personnel may access your data for technical support, system maintenance, and anonymized research only.

Legal disclosure: Personal information may be disclosed if required by court order, Malaysian government authorities, or law enforcement agencies.

4.3 Data Retention and Deletion

Your personal information is retained while your account is active. You may delete your account at any time through User Profile > Delete Account (Padam Akaun). Upon deletion, all your personal information will be permanently removed from our systems.

5. Policy Changes

This Privacy Policy may be updated periodically to reflect changes in data collection practices, new features, legal requirements, or security improvements. Updated policies will be posted within the App.

6. Consent

By registering for and using the MARDI DSF system (App and/or Web Portal), you acknowledge that you have read and understood this Privacy Policy. You consent to the collection, use, storage, and disclosure of your personal information as described herein.

If you do not agree with this Privacy Policy, please do not use the system.
